About the role
We are seeking a proactive and organised Sales Administrator to support our RST UK team based in Stowmarket. This role plays a key part in ensuring the smooth day-to-day operation of our sales and logistics functions, including data entry into our ERP system, coordination with our Canadian headquarters, and providing administrative support across various business functions.
What you will be doing
As the Sales Administrator, you will be responsible for:
- Organising shipping and customs documentation, including export declarations for HMRC
- Packing and preparing small to medium-sized parcels for delivery
- Booking deliveries and collections with couriers
- Liaising with our Canada office regarding shipping schedules, pricing, and logistics
- Answering incoming calls and managing the office switchboard
- Tracking the rental fleet and managing stock levels, including replenishment requests
- Ordering office supplies and managing utility payments
- Invoicing customers (UK Apollo) and maintaining accurate records
- Assisting the Sales Team with travel arrangements, including booking hotels, flights, and transport
- Generating simple quotes and orders, and documenting customer correspondence
- Supporting repair and service tracking, acting as a liaison between the UK office and the Canada Service department
- Coordinating with the Marketing team to ensure UK marketing needs are met
What you will bring
- Previous experience in administration, logistics, or customer service (preferred)
- Familiarity with export documentation and Incoterms is an advantage
- Strong communication skills and professional telephone manner
- Highly organised and detail-oriented with a customer-focused mindset
- Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Experience with CRM or ERP systems is beneficial but not essential
- A proactive, team-oriented approach with a willingness to learn and adapt
