About the role

 

As the Coordinator – Warehouse and Distribution, you will ensure smooth supply chain logistics by managing stock transport orders, overseeing service receipts, conducting stock takes, and supporting fleet operations. You’ll maintain accurate records in SAP and Ariba, and collaborate with distribution specialists, sourcing leads, and commercial teams.

 

Additionally, you’ll update fleet and freight information, coordinate stock movements, and ensure accurate and timely updates of lifecycle statuses and rates.

What you will be doing

 

  • Manage Stock Transport Orders (STO):
  • Gather demand reports and create STOs for Brazil and Chile using the Excel report or FSSS when implemented by the region as required.
  • Ensure STOs are created accurately and on time.
  • Collaborate with Warehouse & Distribution specialists to ensure the correct delivery schedules are maintained.

 

  • Manage Service Receipts:
  • Process posts good receipts (PGR) for FOs, ensuring virtual receptions are accurately reflected in stock locations.
  • Maintain updated stock records, ensuring all receipts are processed on time.
  • Oversee daily updates for the commercial team using SAP S4 HANA.

 

  • Manage Stock Take:
  • Generate Physical Inventory Documents (PID) for cycle counting according to group standards and future stock take reports.
  • Ensure the timely generation of weekly cycle counting reports for LatAm and compliance with the group standard 23.
  • Clean up old reports and maintain a system of tracking stock accurately.

 

  • Logistics Provider Management:
  • Update and manage logistics provider rates in Ariba and SAP S4 HANA, ensuring they are accurate and reflect current sourcing approvals.
  • Ensure all rates are updated and that the system reflects the latest approved rates for transport and distribution.

 

  • Manage Fleet Operations:
  • Oversee the fleet's maintenance, utilization, capacity, and compliance, ensuring all fleet orders (FO) are processed and maintained in SAP.
  • Ensure the timely creation of purchase orders (PO) once FSD process is finished and confirmation of order acknowledgment with suppliers.
  • Maintain FSD lifecycle statuses in the system, ensuring they are up-to-date for fleet management and procurement purposes.
  • Collaborate with regional teams to ensure the timely approval of invoices and fleet management processes.

 

  • Compliance and Reporting:
  • Ensure compliance with group standards for stock management and logistics provider updates.
  • Utilize SAP, Ariba, and Excel to manage the day-to-day tasks and produce weekly reports for internal stakeholders.

What you will bring

 

  • Bachelor’s degree in supply chain management, Business Administration, or a related field is preferred but not required.
  • 2-3 years of experience in warehouse, distribution, or logistics roles within a supply chain environment, preferably with Global Business Services (GBS) or similar frameworks for logistics operations.
  • Proficiency in using SAP, particularly SAP S4 HANA, and Ariba. Additional experience with S4HANA DS Module is advantageous.
  • Experience managing stock movements, transport orders, and fleet logistics.
  • Strong attention to detail and the ability to process logistics data accurately.
  • Effective communication skills to work with internal teams (warehouse, distribution, sourcing) and external logistics providers.
  • Strong problem-solving skills to handle stock discrepancies, rate updates, and fleet management challenges.  
  • Willing to work on a mid-shift or night shift schedule.
