About the role


We are excited to announce a pivotal opportunity for an Office Facilities Coordinator role to join our esteemed Orica GBS (Global Business Services) team on a full RTO setup in our Manila office in Pasig City which will offer daily opportunities for collaboration, hands-on support, and professional growth in a dynamic team environment.  

The Office Facilities Coordinator at Orica oversees the efficient management of office operations, ensuring compliance with statutory requirements from agencies such as PEZA, BFP, and LGU. This role involves handling budget planning, procurement through SAP, vendor and contract administration, and maintaining essential services and landlord relations.

This Office Facilities Coordinator role supports housekeeping and waste management initiatives, organizes corporate events, and assists with employee resource group (ERG) activities to develop a well-maintained and engaging workplace environment.

What you will be doing


The Office Facilities Coordinator is responsible for managing and responding to facility service requests promptly, ensuring alignment with defined service levels. They coordinate daily activities of the facilities team and contractors, prioritize workloads, and maintain strong relationships with landlords and key stakeholders such as SHE advisors and engineering services. The role includes supporting Orica’s tenants and sub-leases with high-quality service, documenting and enforcing facilities management (FM) processes, and assisting in budget implementation with a focus on cost savings. Procurement duties, supplier database maintenance, and performance reviews of FM vendors are also key aspects of the role, ensuring compliance with safety standards and value for money.

In addition to operational responsibilities, the coordinator plays a vital role in workplace safety and event logistics. They collaborate with the SHES team for hazard identification and permit writing, manage statutory permit renewals, and support local leadership and communications teams in organizing events, accommodations, catering, and transportation. Strong communication and teamwork within the FM team are essential, and the coordinator also provides administrative support to the Facilities Lead, contributing to a well-organized and compliant office environment.

What you will bring

 

  • Five years previous experience in a similar role is desirable
  • Proficient in facilities management systems and tools (e.g., SAP, service request tracking)
  • Skilled in budgeting, procurement, and vendor performance evaluation
  • Knowledge of regulatory compliance and permit renewal processes (PEZA, BFP, LGU)
  • Experienced in event planning, logistics coordination, and stakeholder support
  • Knowledge of safety and compliance standards would be advantageous 
  • Competence in performing general administrative duties, along with the ability to support event coordination, catering, and logistics for the local leadership and communications teams
  • Strong reputation for integrity, ethics, personal values and solid character 
  • Self-aware and open to feedback and an ability to work with minimal supervision 
  • Productive without compromising quality and highly reliable and motivated to excel
  • Solid interpersonal and communication skills
