About the role


We are excited to announce a great job opportunity for an Assistant – Facilities role to join the esteemed GBS team in our Manila office in Pasig City.

This Assistant – Facilities role covers a variety of responsibilities and will suit someone who is looking for the chance to develop a range of skills and work with stakeholders across functions. The role is responsible for supporting the smooth operation of our facility including office administration, addressing maintenance requests, and working on projects that are integral to our facility's daily operations.

The person for this Assistant – Facilities role should possess excellent communication and multitasking skills as they will be the first point of contact for visitors and staff, ensuring a welcoming and efficient environment. This position requires a high level of professionalism, reliability, and the ability to work independently as well as part of a team. In return, this position offers excellent development potential with support from experienced leaders and mentors from within the team.
 

What you will be doing


As an Assistant – Facilities, you will maintain a clean, orderly, and safe work environment while providing exceptional support to visitors and callers. This role involves efficiently managing internal and external mail and courier services, processing facility management and tenancy service requests, supporting office access and inductions for visitors, contractors, and staff. The successful candidate will also assist with vendor payables and other general administrative duties, ensuring a seamless experience for all stakeholders.

In addition to these responsibilities, this Assistant – Facilities will rotate tasks as needed, provide feedback on process improvements, and propose cost-saving initiatives. You will offer administrative support as directed by the Facilities Lead, coordinate with the SHES team on hazard identification and risk assessments, and assist the local leadership and communications teams with event coordination, catering, and logistics. This role also includes supporting the FM team with contractor coordination and administration, making it a vital part of our facility operations.
 

What you will bring

 

  • Two years previous experience in a similar role is desirable
  • Knowledge of safety and compliance standards would be advantageous 
  • Competence in performing general administrative duties, along with the ability to support event coordination, catering, and logistics for the local leadership and communications teams
  • Strong reputation for integrity, ethics, personal values and solid character 
  • Self-aware and open to feedback and an ability to work with minimal supervision 
  • Productive without compromising quality and highly reliable and motivated to excel
  • Solid interpersonal and communication skills
