About the role
We are pleased to offer an exciting opportunity for an experienced Executive Assistant to provide high-level support to Orica's Chief Financial Officer and Senior Vice President Development.
As a trusted partner to two members of Orica's Executive Committee, you will play a key role in the effective operation of both offices, providing confidential, proactive and highly organised support across a broad range of business activities. Working in a fast-paced environment, you will manage complex schedules, coordinate competing priorities and ensure critical interactions and commitments are delivered seamlessly.
Working closely with the CFO and SVP Development, you will engage with the Chief Executive Officer, Board of Directors, Executive Committee and senior leaders across the organisation. You will help ensure meetings, governance activities, travel, communications and key business initiatives are coordinated and executed to a consistently high standard.
This is a hybrid role based in Melbourne, with an expectation of four days per week in the office to support the pace, complexity and stakeholder engagement required of the position.
What you will be doing
Executive Support & Administration
- Manage complex and frequently changing diaries for the CFO and SVP Development, ensuring effective time management and alignment to business priorities.
- Coordinate domestic and international travel, including itineraries, logistics, accommodation, visas and contingency planning.
- Prepare, coordinate and review executive correspondence, presentations, reports and briefing materials.
- Manage expenses, approvals, purchase orders and invoices in accordance with company policies and processes.
Meeting Planning & Management
- Coordinate leadership, governance and stakeholder meetings, including agendas, papers, presentations, action tracking and follow-up activities.
- Support Executive Committee and Board-related interactions by managing schedules, meeting materials and logistics with professionalism and discretion.
- Ensure both executives are well prepared for key meetings, events and business engagements.Handle confidential and sensitive information with sound judgement, diplomacy and discretion.
Stakeholder Management & Correspondence
- Act as a key point of contact for the CFO and SVP Development, managing requests and ensuring timely follow-through.
- Build strong working relationships with senior leaders, Executive Assistants and internal and external stakeholders.
- Facilitate effective communication and coordination across the Finance and Development functions.
What you will bring
- Demonstrated experience as an Executive Assistant supporting C-suite executives, Executive Committee members, or similarly senior leaders in a complex corporate environment.
- Proven capability in complex diary management and international travel coordination across multiple time zones.
- Exceptional organisational and prioritisation skills, with the ability to manage competing demands while maintaining close attention to detail.
- Excellent written and verbal communication skills, with confidence working alongside senior stakeholders.
- High levels of professionalism, discretion, and sound judgement when handling confidential information.
- A proactive and collaborative approach, driven by strong initiative, sharp anticipation of needs, and the ability to work independently.
