About the role
We’re looking for a detail-oriented and proactive Accounts Coordinator to join our GroundProbe Australasia (GPAU) Operations team in Queensland on a 15-month fixed-term contract. This is an immediate start opportunity, so if you’re ready to hit the ground running, we’d love to hear from you!
In this role, you’ll play a key part in supporting customer growth through accurate invoicing, account coordination, and operational support across our business unit. You’ll work closely with internal stakeholders and customers to manage invoicing, care plan renewals, and debtor compliance, while ensuring smooth operation of our financial systems. You’ll also act as the first point of contact for D365 system queries and provide support for month-end financial activities.

What you will be doing
Invoicing & Account Coordination:
- Create, prepare, and issue accurate customer quotes and invoices for products, services, site visits, care plans, leases, commissioning, training, freight, parts, GSS, and reimbursable expenses.
- Manage nominated customer accounts, including care plan and lease renewals, monthly and quarterly invoicing, debtor compliance, follow-up, and dispute resolution.
- Ensure all quotes and invoices align with contractual terms, approved pricing, and internal financial controls.
System & Operational Support:
- Create and maintain projects, sales orders, purchase orders, and asset records in D365.
- Act as first point of contact for D365 system queries and provide system support.
- Assist with month-end financial activities, journals, and reporting.
- Maintain entitlement reports, reconcile timesheets, and support audit requirements.
Collaboration & Continuous Improvement:
- Work closely with internal teams to ensure timely and accurate outputs.
- Contribute to process improvements and maintain compliance with WHS policies.
- Engage in ad-hoc tasks such as technician project allocation and audit preparation.
What you will bring
- Strong administration or accounts coordination background.
- High attention to detail with excellent time management skills.
- Confident working in a fast-paced operational environment.
- Strong communication and stakeholder engagement skills.
- High level of competence with MS Office.
- Experience using D365 Finance Module or similar ERP systems (highly desirable).
- Proven experience in invoicing, account coordination, or operational administration.
- Diploma or Certificate in Office Administration (highly desirable).
