About the role
The Administrator - Commercial Customer Site Support provides depot and administrative support to a single site supervisor including site documentation updates, creating spreadsheets on stocks and operators HR related matters and assisting with Customer facing items and filing and support of other Site Supervisor activities.
What you will be doing
Site Administrator
- Provides professional and confidential administrative support Assists with preparation of reports, presentations as required including both internal and customer documentation as required
- Coordinates local and overseas travel and accommodation as required Coordinates meeting bookings for respective sites
- Assists with administrative and office management projects when required
- Orders and maintains stationery, PPEs and general supplies/spares parts as required Processes invoices and goods receipt as required Communicates and coordinates facilities issues and requests
- Assists with the organization of activities or event Conducts data entry including commercial administrative assistance related to customer cases, complaints, contracts and activities.
- Assists the site in management of the FSSS activities including forecasting, ordering and blast management processes
- Supports work management administrative activities
OSH Coordination
- Maintain compliance with all safety regulations.
- Ensure all staff complies with those regulations include compliance to Environmental regulations.
- Advising the management on safety issue as well as implementing health and safety policies and procedures
- Monitoring and controlling safety and compliance in the organization as per the Safety and Health Act 1994 and organization's safety policy
- Carrying out safety inspection an internal audits and reporting to management with suggestions and measures for improvement
- Ensure preventive measures, administrative control and personal protective equipment are implement and used
- Investigate and report accidents and near misses. Record keeping of all safety events, training and drills
- Liaise with Bomba on fire preventive, fighting and evacuation
- Conduct safety and health committee meetings regularly & submit annually the necessary documents to DOSH as required by the Act.
- Assist all visiting government officer and consult related to safety, health and environment
- Identify potential hazards and assess risks within the workplace.
- Conduct risk assessments to identify potential hazards and evaluate their severity.
- Provide OSHA training and education on safety practices and procedures.
- Promote safety awareness and encourage employee participation in safety initiatives.
- Investigate and address employee safety concerns or reports.
- Perform other tasks as directed from time to time.
What you will bring
- Diploma or Bachelor's Degree (Environmental / Health and Safety) or equivalent
- At least 3-5 years of working experience in HSE related field and site administration
- Candidate with valid OSH-Coordinator DOSH will have an advantage
- Reporting and presentations skills
- SAP experience is an advantage
- Able to work under minimum supervision and deal with deadlines
